Printing Services Policies & Procedures

Printing Services provides in-house printing and copying services to the University community.

In order to ensure the best pricing for the University and to maintain quality, Printing Services has first rights
to refusal. All printing for the University must be routed through Printing Services. In the event that Printing
Services cannot produce the material needed, we will be the liaison between the University community and
outside vendors. We will use our relationships built over many years to secure the best quality and pricing for
your work.

Printing Services will work with the campus community to ensure all materials meet University Branding and
Quality Standards. In the event a document is received by Printing services that does not meet those standards,
we will collaborate with Marketing and Communications to produce the material. PDF in the size you wish
printed are preferred.

Printing Services is not responsible for misprints, orders are printed as they are submitted

Copyright

Printing Services cannot duplicate any copyrighted materials without proper written permission from the copyright holder. To obtain this authorization, contact the copyright holder with an explanation of the purpose and intent for the reproduction. As a rule normally, for learning/research purposes copyright holders allow materials to be copied. Please have the appropriate paperwork before submitting to Printing Services with the printing request. See the Fairmont State University web page for more information regarding copyright and fair use.

Basic Printing

In 2020, the University began a partnership with PaperCut, a pay-for-print management system. All UCA’s are connected to your department’s budget. This allows you to print at any machine around campus.

Three Printing Options:

  1. Print directly from a campus computer
  2. Web Print from a web browser using your personal devices – log into your PaperCut user account with your UCA.
  3. Print directly from your mobile devices using Mobility Print

When you arrive at any campus Xerox printer – you will then release your print job with your ID card.

Business Cards

This process will remain unchanged to request business cards. To place your order please visit the Business Card Request Form. Please allow 7-14 days for your order to be delivered from our off-campus printer.

Letterhead & Envelopes

Letterhead and envelopes can now be ordered through Central Stores. You can find the order forms on the Forms Repository under “Facilities & Capital Projects.”

Off-Campus Printing

Staff or faculty with printing needs for projects that are beyond these capabilities, contact Communications, Marketing, & Creative Services at CMCS@fairmontstate.edu. CMCS staff can aid you in working with an off-campus printing vendor. Off-campus printing projects include but are not limited to brochures, postcards, programs, banners, posters, booklets, and stickers. CMCS staff will assist you in placing an order with the University’s outside printing vendor or with another licensed vendor. Lead time for printing projects for external printers is two weeks on average. Be sure to allow enough planning time to receive your project by your deadline. CMCS staff asks for your patience and partnership as we work to realign our processes and absorb these services to serve our campus departments.
