RESERVATION POLICIES


FALCON CENTER
AND
TURLEY CENTER BALLROOM

1. External reservations will be made by contacting Robin Yeager, Director of the Falcon Center at 304-367-4783.

2. Internal reservations by FSU faculty and staff, and registered student groups only are to be submitted by contacting IT at 367-4810 during IT reservation request business hours (Monday – Friday, 8am – 4pm). Check with IT for hours during the summer semesters. 

3. When making reservations, be prepared to answer all questions regarding date/times, locations, set-up needs, AV needs and if catering services are needed.  Faculty/staff will be asked to provide a procurement card (4-digit code); there is no charge for registered student organizations except when utilizing the conference center. The student reserving space will need to give their name as well as their advisor’s name when submitting a request.

4. We request a 48 hour cancellation notice; if notice is not received the customer will be billed for the set-up costs of the requested facility.

5. Prices are located on the Falcon Center Website/Conferences by accessing the designated link.  Prices are per day or partial day depending on the facility requested; if you request an additional day for set-up needs, billing will be adjusted for the extra time.  There is no charge for student organizations to utilize Falcon Center facilities (not including the conference center) or the Turley Center Ballroom.

6. Student organizations are required to conform to usage of the Falcon Center during the hours of the facility.  The function must be started and finished during the building’s open and closing times.

7. Faculty/staff reservations that involve entry into the building prior to the building hours or after hours must contact Robin Yeager for coordination with the security department.

8. Reservations must be submitted a minimum of two working days before the date of privilege of the event, and will be taken no more than 1 year in advance, and will be done on a first come-first serve basis.  No "holding" of space will be done. 

9. Reservations are subject to change with booking of external conference events. The internal group or individual reserving the space will be notified 2 weeks in advance of a change in venue.

10. We request all set-up needs by internal departments and student groups to be determined by the FS student or faculty/staff making the reservation including the layout of tables and chairs, number of tables and chairs, request of a podium, audio visual and catering needs. 

11. If any of the provided furniture should become damaged, the individual reserving the space should report the damage immediately to Robin Yeager, 367-4783 so the furniture can be taken out of the room immediately.  If it is determined that the damage was done intentionally, the result will be suspension of your group’s privilege of reserving space for a designated period to be determined.

12. AV requests will be sent to and processed by Bob Moffett (AV). Catering is to be contacted directly at 367-4090. Falcon Center staff will prepare work orders for outside (external) requests only.
